A recommendation for Kellie & Andrew

Get control first.
Move when you’re ready.

A website you control. A transition you can understand. Ongoing care and improvement, with your current business kept running throughout.

How we begin ↓Understand the costs

Prepared for Kellie & Andrew · Following our 2 October discussion

AK branded mobile coolroom serving an outdoor event
Built around the business you already know.

The priorities you described

You stay informed.
The business keeps running.

  • AK controls its accounts and can edit its website.
  • You’re copied into handover communications.
  • We show the evidence in plain language.
  • Your current site stays live during the build.

No customer-facing cutover before Christmas. A January changeover is tentative, subject to your approval and an operationally safe window.

Build & transition$45,000 + GST

$49,500 including GST

Ongoing Snowball$3,000 / month + GST

$3,300 including GST · From actual launch · Target January 2027

A clear first stepAgree the scope.
Secure your access.

No customer-facing switch before your approval.

First: control & evidenceAccess, ownership and a useful audit
Then: a parallel buildReview before any customer-facing switch
After launch: improveSnowball, reporting and your team’s confidence

October 2026 → January 2027 · On agreement

A game plan with clear decision points.

A proposed schedule, starting only when you approve the scope and proceed. Dates depend on account access, AK content and timely decisions; the current site keeps serving customers throughout.

  1. Step 1

    October 2026 · On approval

    Put AK in control.

With your permission, coordinate access and ownership with Anita and the relevant providers. Keep you copied in. Record who owns each account and what still needs recovering.

Tim: organise the access register and handover requests. AK: approve introductions and provide existing account details.

Decision point: confirm verified access and any recovery work before making transition commitments. Account recovery timing depends on providers; recovery and dispute resolution cannot be guaranteed.

  2. Step 2

October 2026 · After access is available

    Review spend and performance fairly.

Separate management fees from advertising media, review available website and campaign history, and explain what the evidence can and cannot show. Agree what should continue and what should change.

Tim: a concise audit and recommendations. Kellie: review the findings and decide the next step.

We have not independently established that the current service is failing. Historic revenue cannot be precisely attributed where tracking is missing.

  3. Step 3

    November 2026 · Discovery & design

Agree how the new website should work.

Review the audit together. Agree pages, equipment/service information and the enquiry route. Organise AK’s photos, design the key pages and collect one clear set of feedback before building the agreed design.

Tim & Ying: discovery, page plan and design. Kellie, Andrew & Tristan: practical business input, accurate information, photos and approvals.

Decision point: approve the agreed page/content plan and design direction. Book project meetings and review sessions together.

  4. Step 4

    December 2026 · Build & working preview

    Review a working replacement.

Build the agreed editable website, add approved content and set up search foundations and enquiry tracking. Test phone/desktop layouts, enquiry delivery and the migration/redirect plan. Review a working preview, gather feedback and prepare training before launch.

Tim & Ying: design, development and measurement setup. AK: accurate equipment information, photos and grouped feedback.

The preview is a review environment, not a competing public site or a second stock allocation.

  5. Step 5

January 2027 target · Only with your approval

    Plan the switch and handover.

Agree redirects, backups, enquiry checks, responsibilities and a recovery plan. January is a possible window, not a fixed launch date: Australian Open commitments and emergency work still come first.

Tim & Ying: transition checklist and training. Kellie: approve the date and working preview. AK: confirm operational cover.

Keep the current site serving customers until the replacement and transition checks are approved.

  6. Step 6

From actual launch · Monthly thereafter

Make steady improvements you can see.

Use the new foundation for agreed website improvements, SEO/content work, simple reporting and team training. Review priorities against real enquiries, available capacity and what matters to AK.

Tim: strategy and reporting. Ying: agreed development. Kellie & Tristan: approvals, business insight and content input within their capacity.

No guaranteed rankings, leads, bookings or payback. Monthly capacity is agreed; this is not unlimited labour or guaranteed daily attendance.

One clear recommendation

The foundations, the website and the support.

Get the essential transition right before adding more systems or sales activity.

Build & transition

Exactly what the $45,000 project includes.

  • Business account control: identify ownership, organise access and keep an account register for AK.
  • Access setup & transition coordination: work with current providers, keep Kellie copied in and plan an orderly handover.
  • Spending review: a plain-English audit of management/media and available performance records.
  • Editable website: agreed design, approved content and development so AK can manage its own website tasks.
  • Search & measurement: SEO foundations and enquiry tracking for the agreed website.
  • Preview, launch & handover: working review site, migration checks, recovery plan and an approved switch.
  • Training & meetings: Kellie/team training and the in-person project meetings needed for the agreed scope, included in the project fee.

One agreed website/content inventory and migration, with defined review rounds, training and launch/recovery checks. Final deliverables, review rounds and meeting rhythm are agreed before work starts. Project training and agreed in-person meetings are included in the project fee, with no separate surprise training/meeting charges. Additional scope is discussed and priced before work; custom integrations are excluded.

Proposed monthly support

Snowball: care, progress and accountability.

  • Agreed website maintenance and improvements
  • SEO/content priorities informed by evidence
  • Plain reporting: what changed, what we measured, what’s next
  • A prioritised monthly work plan, strategy review and practical team guidance
  • Agreed social/content support using AK-supplied photos, adapted for appropriate channels and approved before publishing

Social volume, approval rhythm and inclusion within monthly priorities are agreed in the written scope. AK supplies photos/video; Tristan’s contribution is planned around his existing role. No unlimited content or bespoke shoots are assumed.

What stays outside the core scope?

Advertising: Tim does not manage or pay for ads. If AK chooses paid advertising, an ad specialist and media spend are separately contracted and paid by AK. The audit can inform that decision; it is not an ad-management service.

Lead finder: available to discuss later as a separately priced optional service. Existing research is useful supporting evidence, not a promised sales pipeline.

Automated quoting and custom systems: separately scoped and priced. A standard website enquiry route does not imply a bespoke quoting engine. CRM, accounting automation and custom integrations are also separately scoped.

External costs & stopping support: agreed hosting, licences and other external charges are separate. AK keeps control of its business accounts, website content and agreed website assets. Proprietary Snowball software is not transferred; continuing hosting/platform access needs an agreed arrangement if support stops. We explain those choices before commencement—no assumption that all services remain free forever.

One recommended scope · Clear costs

Separate the build from the monthly service.

The project fee includes the agreed access/audit/transition work, website design and build, working preview, launch and handover, training and required in-person project meetings. Final scope and terms need your written acceptance.

Initial build & transition

$45,000 one-off · plus GST$49,500 including GST

Account control and audit, agreed website design/build, working preview, SEO/tracking foundations, managed transition, launch/handover, training and agreed in-person project meetings.

50% at start$22,500
25% at design & working-preview approval$11,250
25% at launch & handover$11,250

Milestone amounts above exclude GST: $24,750 / $12,375 / $12,375 including GST. Payment terms are proposed for your written agreement.

Snowball · From actual launch

$3,000 per month · plus GST$3,300 including GST

Ongoing website care, prioritised improvements, search/growth work, clear reporting and practical guidance. We agree the monthly work plan together and show what changed.

Monthly service starts when the website actually launches, targeting January 2027. There is no monthly service charge during the build and no automatic January charge if launch is delayed. The launch date requires your approval.

Month to month. If you’re unhappy, you can stop future monthly service and billing; there is no six-month minimum. Tell Tim you want to stop and we’ll confirm the end of service and any separate hosting/software arrangements. No cancellation penalty is proposed.

Build + full 12 months of service

$81,000 excluding GST

$89,100 including GST · Later twelve-month service-only cost: $36,000 excluding GST / $39,600 including GST.

A full 12 months of service: $45,000 + 12 × $3,000 = $81,000 excluding GST / $89,100 including GST, before separate costs.

Build + those service months$72,000excluding GST · $79,200 including GST

Illustration assumes build payments fall within that year and monthly service begins at launch. Exact dates and invoice timing need agreement. GST is illustrated at 10%; incumbent costs, advertising and external costs are not included. Adjusting timing does not discount the build or monthly service.

Keep it practical

What we need from each other.

AK’s inputs and decisions

  • Authorise introductions and keep Kellie copied in.
  • Confirm registrar/domain, WordPress, Meta/Facebook, Instagram, Google Business Profile, Analytics, Search Console and ad-account access.
  • Provide available management/media invoices and campaign history.
  • Supply accurate equipment details, photos and video; agree what Tristan can support alongside his existing full-time work.
  • Nominate the approver and provide consolidated feedback.

Our commitments and approval gates

  • Keep an understandable account/access register.
  • Explain audit findings and uncertainty without blaming the incumbent.
  • Show a working preview before requesting launch approval.
  • Train Kellie and the team on agreed website tasks and reporting.
  • Record scope changes and costs before adding work.
What we know from the meeting — and what still needs checking

Existing management was reported as $1,639/month, with ads additional. The approximately $71,600–$72,000 discussed for 2024 includes management and media; it is not media-only spend.

The additional $200,000 revenue estimate discussed is not proven campaign attribution. We will review available records and state what cannot be reconstructed.

Facebook/Meta access is unresolved; Instagram is accessible according to the discussion. Registrar identity and verified ownership/access for each system need checking.

No deal, fee, final scope or launch date was accepted. The next step is review of this plan, confirmation of the all-in budget and a written scope.
